2024–2025 SkillsUSA Massachusetts Advisors’ Handbook Chapter 11: State Leadership and Skills Conference • 139 State Conference Checklist for Advisors State Conference Checklist for Advisors BEFORE CONFERENCE REGISTRATION IS DUE O Review this Conference Checklist to help guide you through the registration process O Identify each interested participant, including your District Qualifiers, Leadership, Demonstration Skill, & Freshman Event participants as well as State Officer Candidates and Delegates to fill the available number of spots (Delegate formula: 2 for the first 25 members, 1 for each additional 25) and Advisors O Share the State Conference Details with students and teachers • Championships contest details are available on next page O Share the Technical Standards with students and teachers • The current year’s competition Technical Standards are available annually in March. These standards guide the competition and provide critical information related to successful participation O Provide each participant a SkillsUSA Conference Registration, Personal and Liability Release Form for comple- tion & signatures (along with any school related field trip forms). USING THE FORMS AND SUBMITTING THE SkillsUSA Massachusetts GROUP ACKNOWLEDGEMENT FORM O Collect the completed SkillsUSA Conference Registration, Personal and Liability Release Form from each partic- ipant, including Advisors • Review the completed form from each participant, to register meal choices and shirt sizes for each participant • Review the completed form from each participant, to track who will need an Adaptation Form O Complete and submit via email the SkillsUSA Massachusetts Group Acknowledgment Form which acknowledges that you have collected from every student and Advisor from your Chapter attending the conference a signed original SkillsUSA Conference Registration, Personal and Liability Release Form (with all appropriate signatures). REGISTER O Complete the on-line registration BEFORE the posted deadline: • Identify and register Technical Skill contestants who won a qualifier spot during the District • State Officer Candidates should have promotional materials ready to share with roughly 500 Voting Delegates at States • Identify and register your National Anthem Singer, if chosen the winner by the State Office • Identify and register your Pin Design contestant, if chosen the winner by the State Office • Identify and register your State T-shirt Design contestant or National T-shirt Design contestant, if chosen the winner by the State Office • Identify each interested contestant, to fill the available number of Leadership Contest Spots - Leadership contests have the same number of High School Division spots and Post Secondary spots available - Be sure team members are registered together in the correct contest • Register your Costello Family Community Service Award participants, submit application to the State Office by April 1 • Identify and register your Non-Traditional Career Portfolio participants, submit application to the State Office by April 1 • Identify and register your Chapter Excellence Program, submit application to the State Office by April 1 • Identify and register your National Voting Delegates, submit application to the State Office by April 1 • Identify and register your Techspo competitors need to be registered for States, pay the Techspo Fee and share project’s overall size, in order to compete • Identify and register all Advisors, Aides and Administrators, with correct meal choice and shirt size O Prepare Adaptation for Achievement Forms for appropriate participants • Especially those who have allergies, require assistance, or need special accommodations • Submit these forms to the State Office via email O Gather Eligibility Letters required for contestants competing in IEP Specific Contests • Action Skills, Community Action Project and Employment Application contestants bring these letters to their competition O As part of the on-line registration process register room selections for all participants • Please consider quads and triples for students, doubles, and singles for advisors. SkillsUSA prefers to have students fill quads and triples, with advisors filling doubles and single rooms to help with space constraints O Registration is automatically submitted when you have completed your selections. There is no “submit button” REVIEW CONFERENCE REGISTRATION FOR ACCURACY O Review the on-line conference registration you submitted for accuracy • Make sure all intended participants have been registered, and you didn’t forget anyone! • Make sure all intended participants have been registered, and you didn’t forget anyone! • Make sure every contestant is in the CORRECT contest • Make sure names are spelled correctly, each participant has the correct meal and shirt size • Make sure everyone has a hotel room • Make sure all required Adaptation for Achievement Forms have been submitted MAKING CHANGES O Submit Changes Form (found in the FORMS folder of the Advisor’s Drive) for name corrections, changes in meal choice or shirt size • The Changes Form also has a deadline that needs to be followed • Additional participants may not be added to the Changes Form, only substitutions ACCESS AND SUBMIT INVOICE FOR PAYMENT O Access your conference invoice from the registration system O Submit Conference Registration Invoice to the school’s business office for payment O Ensure payment is made to SkillsUSA Massachusetts and mailed to 501 Paramount Drive, Raynham, MA 0276
